How can I merge assets?

In this article, we explain how you can merge two assets into one.

Have you accidentally created two assets for the same item with different scan codes and data in seventhings? This can sometimes happen if an asset that has already been imported from the ERP system is created as new during the initial recording. Or if a label is not found during an inventory count and an employee creates a new one, even though it already exists with a different scan code. But no problem! We will explain step-by-step how you can merge these two records into one asset.

Important:

To be able to merge two assets, you need the user permission “Merge assets”. Learn how to obtain this permission in this article.

First, open the detailed view of the “leading asset” – this is the one that contains the most relevant data and which you want to enrich with the data from the duplicate.

Click on the three dots in the top right corner of the asset view and then select Merge. In the dialog box that opens, you will see the leading asset on the left side. Click on the small arrow on the right to select the asset to be integrated.

To select the asset to be integrated, search for its scan code or description and select the asset.

At the end of the merging process, the asset being integrated will be permanently deleted!

You now have two options to decide which data should be retained:

Option 1:

You decide per field group. All data from the selected asset within that specific group will be completely transferred to the merged asset. You can identify which data will be adopted by the dark blue highlighting. Data in fields with a white background will be deleted or overwritten.

Option 2:

You decide for each asset field individually. This allows you to choose within a field group whether the entries from the leading asset or the integrated asset should be kept. To do this, click on the down arrow on the right side of the respective asset group to expand it.

You can then select the individual asset fields you wish to keep. It might look something like this:

The white fields will be deleted or overwritten. After you have selected the fields to be transferred, click Save. You will then see the detailed view of the merged asset.

In the History of the asset, you can see how the individual asset fields have changed.

Please note:

  • If the asset to be integrated is part of tasks, reservations, or is being watched, these tasks, reservations, and watching users will be transferred to the leading asset.

  • At least one piece of information must be selected from each side; otherwise, the merge cannot be completed. Alternatively, you can simply delete one of the duplicate assets.
