How do I create a PDF template for documents?

Create custom form templates for handovers or protocols. In just a few steps, you can configure the layout, columns, and signature fields for your documentation.

With seventhings, you can generate documents for processes such as handovers, disposals, or damage reports in no time. Instead of transferring data manually, you use your existing object information for different documents. This saves you valuable time and ensures complete documentation of your inventory.

Important:

In order to be able to create and edit PDF templates for documents as described below, you need the Template Management permission. If you don't have it yet, please ask your administrator to enable it for you.

In the menu, navigate via Settings to PDF templates. If you have already created templates, you can edit them here using the pencil icon (1). To create a new template, click Add (2).

If you want to use an existing template as a starting point, click Create from existing template in the three-dot menu at the top right, and then make your changes.

If you want to create a completely new template, first give it a descriptive title in the configuration window and, if applicable, upload your company logo. Then, in the Columns field, select all the columns that should appear in your form. You can adjust the order of the columns via drag-and-drop by dragging the selected column names (to the left or right) to the desired position. Also choose the appropriate format in portrait or landscape orientation.

Using the Add Field buttons, you can add further elements to your document:

  • Information text (a field in which you can write any text that will always be displayed in the form)

  • Date fields

  • Signature fields

  • Single-line and multi-line text fields (fields that can be filled out in the PDF reader)

  • Checkboxes (a check box that can be ticked in the PDF reader)

Use the three-dot menu at the top right to check your layout via Preview. Finally, click Save at the bottom right to store your template.
