How do I assign individual permissions to users?

Learn how to manage users and grant them permissions.

If you manage a manageable number of users (about 5 to 10 people) in your system, it is often most efficient to define permissions quite individually. This allows you to define exactly which functions are enabled and which actions can be performed for each team member.

Prerequisite:

To make these manual settings, please ensure that the feature Role Management is deactivated in your system settings. This allows you to maintain full flexibility with a small number of users.

To start the configuration, navigate to Team > Users in the main menu. Locate the person you wish to edit and click on the small key icon to the left of their email address. If this icon is not visible to you, it means you do not yet have the authorization to edit users. In this case, please ask your administrator to grant you the necessary permissions under the Users category.

Once you have opened the permissions overview, you can individually decide for each category whether a specific function should be activated or deactivated. If you are ever unsure about a specific term, simply hover your mouse pointer over the word. A brief explanation will then appear in the bottom right corner of your screen to guide you.

You can also use the primary toggle switch next to a category name — such as Rooms or Locations — to activate or deactivate all associated permissions with a single click. This saves you time when setting up comprehensive access levels for your assets.

Note:

For security reasons, you can only assign permissions to other people, not to yourself. If you wish to change your own rights, please contact another user who is authorised to manage user rights.
