How do I create a task for an asset?

Keep a close eye on maintenance tasks and deadlines. Here you can find out how to create tasks directly within the asset and assign responsibilities within the team.

Our task management allows you to assign tasks to your assets. Whether it’s the next maintenance, a request for physical inventory, or a reminder for a colleague - our new task management offers you a simple solution.

Option 1: From within the asset

To create a task for an asset, first open its detail view in the asset list (1) with a double-click (2) on the respective row. In this view, go to the three-dot menu (3) and select Tasks (4).

To create a new task, now select “Create task.” The following dialog window will open.

Option 2: From task management

You can also create tasks directly in the task management area. Open it via Assets (1) and then Tasks (2). Then click on Add (3).

Now, in the dialog box, select at least one asset to which the task you are creating should be assigned.

Whether you reached this point via Option 1 or 2, the remaining steps are the same:

As you can see in the next screenshot, here you can give your task a title, set the due date, assign the task to a person, select a reminder time, and provide specific details in the comments section. Additionally, you can upload documents and add a description. If necessary, you can even select another asset below the title if the same task applies to multiple assets. Click Add to save.

If you have already created the task you want – or something similar – in the past, click on the three-dot menu in the top right-hand corner and select ‘Create from existing task’. This will pre-fill the details of the existing task into this new one. You can still edit the single fields. When you’re finished, click ‘Save’.

Your task will now appear in the task list of the respective asset.

The assigned colleague will immediately receive an email notification regarding the task assigned to them.

The person assigned to the task will then receive an email notification containing the details of the task, both on the due date and at the selected reminder times.
