The rental management feature helps you easily reserve and manage Objects—whether you are making a reservation yourself or are responsible for managing reservations for others.
Prerequisite:
The feature "Rental Management" is activated in your instance.
1. Create or change a reservation
Once the rental management feature has been activated in the instance, any user can reserve Objects. There are two ways to do this:
Option 1: Directly in the inventory
Go to the item’s details page and click on ‘Reservations’ in the header.
In the window that appears, you can view all existing bookings for the asset. If you wish to add a new one, either double-click the relevant date in the calendar or click the plus icon to open the booking form.
You can find out what to do next further down under ‘2. The booking window’.
Option 2: Via the booking overview
From the menu bar, select ‘Objects’ (1) and then ‘Reservations’ (2). To create a new reservation, click ‘Add’ (3) in the top-left corner. You can then select the assets you wish to reserve.
To edit an existing booking, click on the pencil icon.
2. The reservation window
Regardless of how you open the window, you can use it to set up your reservation for one or more objects:
Time period: Use the calendars to select the start and end times. Times that are already booked are highlighted in grey and cannot be selected.
Details:
Borrower: Select the person borrowing the item.
Approving user: Select a seventhings user who is authorised to confirm bookings.
Comment: Add notes.
Documents: Upload documents or images.
Reminders: Set when reminders for collection and return should be sent.
3. Reserve several Objects at the same time
Go to the Object list and select the desired Objects by ticking the checkbox. Then click More and select Reserve.
The selected Objects are combined into a single reservation, which you then configure in the reservation window as described above.
4. What happens after I create a reservation?
The approver receives a message in seventhings that you want to reserve one or more Objects. They review the reservation request and approve or reject it. If the request is approved, they change the status to Reserved.
Once you have collected the Object on the collection date, the approver sets the Object’s status to Borrowed. If you do not collect the Object on time, its status automatically changes to Collection overdue.
At the end of the reservation period, you return the Object and the approver sets your reservation to Completed. If you do not return the Object on time, its status automatically changes to Return overdue. In this case, the approver receives a message that the Object was not returned on time.
