With the Access Permission feature, you have full control over which locations and rooms your team members are allowed to see and edit. This is especially useful when users are only responsible for specific branches or storage areas.
Prerequisite: To manage these access rights, you must have access to User Management yourself. If you do not see the Users field, please contact your administrator.
Furthermore, this feature is only included in the Smart Asset Management and Smart Asset Provider license tiers. If you would like to request a non-binding upgrade, please contact us here.
Navigate via the menu bar to Settings and select Users.
Then, click on the prohibition icon to the left of the desired email address.
Once you have the settings window open, toggle the switch to enable location-based access control.
A list of all available locations will appear below. You have a choice here: If you want to grant access to an entire location including all associated rooms, simply check the box directly next to the location name.
If you want to be more specific, click on the small arrow to the right of the location. This will expand all associated rooms, allowing you to check specific boxes to grant access only to certain rooms.
The icon in front of the location always indicates whether access has been granted fully (a checkmark), partially (a minus sign), or not at all (empty).
The User Dashboard
Users will only see the number of assets and rooms they have access to on their dashboard. Similarly, the asset list only displays assets located in the authorized rooms. In the app, only the relevant quantities are shown as well. However, assets that have not yet been assigned to a room or location remain visible.
Note:
If you navigate to the Rooms and Locations tabs, all rooms and locations will be displayed, regardless of whether you are authorized for them or not.
Scanning Assets
If an asset is scanned that, according to seventhings, originates from an Actual and/or Target room for which you do not have access, a notification will be displayed in the app. Since the asset cannot be updated in this case, please contact your administrator to clarify the corresponding permissions.
Creating Rooms If you have access restrictions for certain rooms as a user, you can still create new rooms. Please note, however, that this room will initially only be authorized for you. If the room should be enabled for other users as well, please ask your administrator to handle this.
